Terms & Conditions of Service
Effective date: 29 September 2026
1. About these Terms
These Terms & Conditions apply to bookings, payments, memberships, supervision groups, therapy sessions, online sessions, resources and other services provided by Claire Ratcliffe Psychotherapy. By booking, subscribing or attending a session, you agree to these terms.
2. Services offered
- Individual therapy — online, 50 minutes, weekday or evening/weekend
- Couples and relationship therapy — online, 60 or 90 minutes, weekday or evening/weekend
- Couples therapy intensives — online, by enquiry, from 3 hours to 3 days
- Small Group — Therapy — 12-week psychoeducation programme, open to all, online
- Individual supervision — online, 60 or 90 minutes, for qualified and trainee therapists
- Small Group — Supervision — 6-month online supervision group for therapists
- Healing Relationships — online community for therapists, currently in development and due to launch in early 2027. Not yet available to join; separate terms will apply at launch
3. Suitability and professional status
Small Group — Supervision and Individual Supervision (and, from launch, Healing Relationships) are intended for therapists and related professionals working with, or interested in, couples and relationship work. Professional body, qualification, insurance and registration details may be required before joining a supervision group.
Small Group — Therapy is open to all. It is a psychoeducation and personal development programme and is not a substitute for individual therapy, crisis support or clinical treatment.
Claire Ratcliffe Psychotherapy reserves the right to decline or cancel a booking if the service is not suitable, required information is not provided, or there is a safeguarding, conflict of interest or other professional concern.
Claire may also, at her professional discretion, pause or end work with a client, couple or supervisee at any stage — for example where there is a safety concern, a conflict of interest, a relationship dynamic that makes therapy unsafe or unsuitable, or where a different service would serve you better. Where this happens, Claire will explain her reasons where it is appropriate to do so, will offer signposting to other support, and will refund any sessions paid for but not yet delivered. The non-refundable deposit on couples intensives is not refunded where the work ends because of a client's conduct.
4. Small Group — Supervision — terms
- Booked as a fixed 6-month commitment at £480 (one-off payment)
- The full 6-month fee is payable even if you stop attending, miss sessions or cancel part-way through
- Missed sessions are non-refundable and cannot be carried forward
- 1 live online session per month, approximately 2 hours
- Minimum 4 and maximum 6 participants per group
- If minimum numbers are not reached, the therapist may postpone, combine or offer an alternative arrangement
- Sessions are not recorded
5. Small Group — Therapy — terms
- 12-week psychoeducation programme — 9 sessions in total
- £550 per person — one-off payment required to secure your place
- The programme fee is non-refundable once the programme has begun
- Missed sessions are non-refundable and cannot be carried forward
- Minimum 8 and maximum 30 participants
- If minimum numbers are not reached, you will be offered a place in the next programme or a full refund
- Sessions are not recorded
- This programme is a psychoeducation and personal development group. It is not individual therapy, clinical supervision or crisis support. Participants remain responsible for their own therapeutic and clinical arrangements
6. Healing Relationships — community in development
Healing Relationships is currently being built and is expected to launch in early 2027. It is not yet available to join and no payment is taken for it at present. Registering interest via the mailing list creates no contract or obligation. Full terms for Healing Relationships will be published before launch and will apply from the point of joining.
7. Individual and couples therapy — session fees

Payment is required at the time of booking unless otherwise agreed. Bookings are not confirmed until payment has been made.
8. Individual supervision — session fees

Payment is required at the time of booking via Stripe. 48 hours' notice required to cancel or reschedule. Cancellations with more than 48 hours' notice are refunded less the £5 administration fee described in section 10.
9. Couples therapy intensives — fees

Intensive bookings are by enquiry only. Full payment is taken when the booking is confirmed. 25% of the fee is a non-refundable deposit (3 hours £135; 1 day £227.50; 2 days £462.50; 3 days £712.50). Cancellations with more than 48 hours' notice before the start of the first day receive a refund of the remaining 75%. Cancellations with less than 48 hours' notice, and non-attendance, are charged in full. Rescheduling is treated as a cancellation and rebooking.

Administration fee on refunds. When a session is cancelled with more than 48 hours' notice, the fee is refunded to the original payment method less a £5 administration fee. This covers the card-processing charges that are not returned to Claire Ratcliffe Psychotherapy when a payment is refunded, and the time taken to process it. The fee does not apply to rescheduling, to refunds made because Claire cancels or declines a booking, or to group programmes that do not reach minimum numbers. Refunds normally arrive within 5–10 working days.
11. Online session rules
- You must attend from a private and confidential space
- No one else should be present unless agreed in advance
- You must not record sessions, take screenshots or share session links
- You must not share information about other participants or case material discussed in group sessions
- You are responsible for your own internet connection, device and environment
12. Confidentiality
All participants are expected to maintain confidentiality. In supervision and group settings where case material may be discussed, you must not identify clients or third parties unnecessarily, must anonymise case material where possible, and must not share other participants' personal or professional information outside the group. Confidentiality is subject to legal, safeguarding, ethical and professional limits. Serious breach may result in removal from a group or membership.
13. Behaviour expectations
All clients and participants are expected to behave respectfully and professionally. Discriminatory, abusive, threatening, disruptive or unsafe behaviour is not acceptable. Claire Ratcliffe Psychotherapy may remove a participant from a session, group or membership if behaviour creates risk or disruption. Removal for serious breach may not entitle the client to a refund.
14. Educational content disclaimer
Small Group — Therapy (and, from launch, Healing Relationships) provides educational and supportive content. It is not a substitute for individual therapy, personal clinical advice, emergency support, formal supervision, or legal or professional advice. Members and participants remain responsible for their own professional judgement, ethical practice, supervision arrangements and compliance with their professional body requirements.
15. Emergency support
Therapy sessions are not an emergency or crisis service. If you are at immediate risk, or someone else is at immediate risk, please contact emergency services (999), NHS 111, your GP, or a local crisis service.
16. Intellectual property
All videos, resources, session materials, worksheets and other content remain the intellectual property of Claire Ratcliffe Psychotherapy unless stated otherwise. Members may access content for their own personal professional learning while membership is active. Content must not be copied, shared, sold, published, uploaded, recorded, distributed or used to create derivative materials without written permission. Access credentials must not be shared.
17. Limitation of liability
Nothing in these terms limits liability where it would be unlawful to do so. Subject to that, Claire Ratcliffe Psychotherapy is not responsible for losses caused by incorrect information provided by the client, failure to attend, client technical issues, unauthorised sharing of access details, or use of educational content outside its intended purpose.
18. Complaints
If you have a complaint, please contact Claire Ratcliffe Psychotherapy at claireratcliffetherapy@gmail.com in the first instance. Where relevant, you may also raise concerns with the British Association for Counselling and Psychotherapy (BACP). Details of the BACP complaints process can be found at bacp.co.uk.
19. Governing law
These terms are governed by the laws of England and Wales.
20. Updates to these Terms
These Terms & Conditions may be updated from time to time. The latest version will always be published on this website with a clear effective date.
